Set up your Basefloor account and get your first property live in minutes.

Getting Started with Basefloor

This guide walks you through setting up Basefloor for your hotel chain from scratch — from your first login to accepting reservations.

Step 1 — Access Your Instance

When your hotel chain is onboarded to Basefloor, you receive a unique subdomain:

https://your-brand.basefloor.app

Open this URL in your browser. You will be taken to the login page for your chain's instance.

Each hotel chain has its own isolated Basefloor instance. Your staff can only access your chain's subdomain.

Step 2 — Log In

Use the credentials provided by your Basefloor administrator to log in. If you are the first user (chain owner), your credentials were sent to you by email when your account was created.

  • Email: your registered work email
  • Password: set during initial account setup or via the password reset email

Step 3 — Create Your First Property

A Property represents a single hotel or venue in your chain.

  1. From the dashboard, click Properties in the left sidebar
  2. Click Add Property
  3. Fill in the required details:
    • Property name
    • Physical address
    • Contact email and phone
    • Country and time zone
  4. Click Save

Your first property is now live inside your Basefloor instance.

Step 4 — Configure Rooms

Once your property is created, you can add rooms to it.

  1. Select your property from the Properties list
  2. Click Rooms → Add Room
  3. Enter the room details:
    • Room number / name
    • Room type (e.g., Standard, Deluxe, Suite)
    • Capacity (number of guests)
    • Floor number
    • Base nightly rate
  4. Add amenities (WiFi, AC, balcony, etc.) from the available list
  5. Click Save Room

Repeat this process for all rooms in the property.

Step 5 — Invite Your Team

  1. Go to Settings → Users
  2. Click Invite User
  3. Enter the staff member's email address
  4. Select their Role — this determines what they have access to
  5. Click Send Invite

The staff member will receive an email with a link to set up their password and access the system.

Step 6 — Take Your First Booking

With your property and rooms configured, you can start accepting bookings.

  1. Navigate to Bookings → New Booking
  2. Select the property and room
  3. Choose the check-in and check-out dates
  4. Search for or create a guest profile
  5. Confirm and save the booking

The booking will now appear in your calendar and room availability view.
